PRIVACY & DATA ARCHITECTURE POLICY
Effective Date: March 9, 2026
1. THE DATA WE COLLECT (THE "BLUEPRINT")
To initialize a business infrastructure build, ProBuild Business Solutions collects high-integrity data, including:
Personal Identification: Full legal name, residential address, and date of birth.
Government Documentation: Copies of Driver’s Licenses or Passports (required for 2026 Federal BOI Compliance).
Tax Information: Social Security Numbers (utilized solely for IRS EIN applications).
Digital Footprint: IP addresses and browser data to secure our Dynamic Gateway.
2. THE PROBUILD "SECURE VAULT" PROTOCOL
Your data is never stored on unsecured local drives. We utilize a 256-bit Encrypted Google Workspace Vault.
Access Control: Only your assigned Lead Architect or Filing Specialist has "View" access to your sensitive documents.
Encryption: Data in transit between our
/buildpage and our internal servers is protected via SSL/TLS encryption.Data Lifespan: Once a build is "100% Complete" and documents are handed off to the Client, sensitive ID copies are archived in a cold-storage vault for the duration required by federal audit statutes (typically 3-5 years) and then purged.
3. THIRD-PARTY ARCHITECTURE
We do not sell, rent, or trade your data to marketing firms. We only share data with the following "Infrastructure Partners" necessary to complete your build:
State Authorities: Secretary of State offices for entity formation.
Federal Authorities: The Internal Revenue Service (IRS) and FinCEN.
Banking Partners: Only if the Client explicitly requests a "Banking Introduction" via our dashboard.
Payment Processors: Squarespace Payments/Stripe for secure transaction handling.
4. 2026 COMPLIANCE (FINCEN & CTA)
Under the Corporate Transparency Act, ProBuild acts as a "Third-Party Submitter." We maintain records of the "Beneficial Owner" (The Client) to ensure that the entities we build are compliant with federal anti-money laundering (AML) statutes.
5. YOUR DATA RIGHTS
As a ProBuild Client, you have the right to:
Request a Data Audit: See exactly what information we hold in your Vault.
Request Data Correction: Update any outdated infrastructure records.
Request Deletion: Note that certain "Entity Records" must be maintained by law and cannot be deleted until the statutory period ends.
